Lock the date — 2+ months out
Marketing momentum needs runway. Confirming the date this far ahead lets your team prep the VIP outreach, finalize marketing materials, and curate a frame pull tailored to your top clients.
Build your VIP list and call them first
This is what drives show-rate. Your Top 50 clients get a personal phone call (no texts, no email) at 9 weeks out. Then a 100-person VIP email at 8 weeks. Then a 100-person VIP text at 7 weeks. Goal: 10 appointments locked in before any mass outreach. Personal touch is what gets people to show up; blasting and posting drive much lower response rates.
Then broaden — email, social, in-store
Mass email at 6 weeks out (full database). Social posts 2-3×/week starting at 5 weeks — tag @gazal_eyewear on Instagram, post in our Facebook page or r/GazalEyewear and we'll reshare to amplify. Also list on Eventbrite, FB Events, and community calendars. Staff books 1 walk-in per day at the counter. Target: 30-40 booked by 3 weeks out. Handle guide: Social Media Shares.
Confirm appointments — twice
This is the step that makes or breaks the show. One week before: text every booked appointment. 24 hours before: call every unconfirmed. Expect 20-30% cancellation, plan for it. Overbook by 50% so you land at 20+ confirmed attendees. The difference between 30 booked / 5 showed and 30 booked / 25 showed is right here.
Day-of execution
The Gazal designer or rep works the floor with your team — sharing product stories, guiding fittings, and closing orders. You drive traffic; we drive conversion. Welcome walk-ins if space allows.
Post-show follow-up
Within a week we review what sold, what got tried-on-but-not-bought, and what to restock for your shop's profile so the momentum keeps going into the next event.
Why two months?
Every successful Meet the Designer show we've run has at least 8 weeks of lead time on the calendar. It's what gives your team room to curate the invite list, finalize the marketing collateral, and align on the frame pull. Shorter runways tend to mean rushed promotion and lower attendance. Ready when you are.
